The useful idea

A business brief is a short, approved description of your customers, offers, voice and boundaries. Use it alongside a specific request so an AI tool has relevant facts instead of filling gaps with guesses.

Make it work for you.

1. Write down the facts.

Include what you offer, who it is for, your location or service area, and facts a customer can rely on. Use current, approved information.

2. Describe what good sounds like.

Add three voice traits and two short examples of writing you like. State words or claims you avoid.

3. Set clear boundaries.

List the details that require a human decision, such as a price, appointment or guarantee. Ask the tool to flag unknown information rather than invent it.

4. Test and maintain the brief.

Try the same task with and without the brief. Check accuracy and tone. Assign someone to update offers, hours and other changing information.

A starting point you can copy.

Replace the brackets with your own approved information. Use this with a tool your organization allows.

YOUR REUSABLE PROMPT
Use this approved business brief as context.

Business: [NAME AND DESCRIPTION]
Customers: [WHO WE HELP]
Offers: [APPROVED SERVICES OR PRODUCTS]
Voice: [THREE TRAITS AND AN EXAMPLE]
Boundaries: [WHAT YOU MUST NOT PROMISE]

Task: [SPECIFIC REQUEST]
Use only supplied facts. Flag missing information.
Provide a draft and a short review checklist.

Check before you use it.

Do not include passwords, customer records or information you do not have permission to share. Follow your organization’s rules for the tool you use.

Keep the source information next to the draft. Confirm facts, remove unsupported claims and decide what still needs a person’s judgment.

Make it repeatable.

Save the useful inputs and the steps you followed. Record what you changed. When the task or tool changes, run the same checks again.
